How does Multi-Tenancy work?

We recognize that some of the organizations that use BlueTally are managing assets and other equipment not only for themselves, but also for other clients under their purview. Rather than paying for multiple accounts and having to constantly log in and out of each of them, our higher-tiered subscriptions, like Corporate and Enterprise, offer multi-tenancy, so you can manage all of your clients in one place and for the price of only one subscription!

Each sub-tenant functions as its own BlueTally instance, and you can invite specific users to access only the sub-tenant they need to see. Most integrations (such as separate Intune instances and SCIM provisioning) can be set up independently for each sub-tenant.

Accessing Multi-Tenancy

As long as you are subscribed to a plan that allows for multi-tenancy, the options to switch between tenants will be available by default, even if you haven't added any sub-tenants yet.

You can manage your main tenant and sub-tenants by clicking on the Switch Tenant option found in the dropdown menu under the profile icon in the upper right-hand corner of your account.

At this point, the Manage Tenants page will appear. From here, you can add new sub-tenants, delete existing sub-tenants, and switch between your primary tenant and your sub-tenants. You will always be able to tell which tenant is your main, or primary, tenant based on which Tenant Name has the gray "Primary" tag next to it.

Switching Between Tenants

You can only access one tenant or sub-tenant at a time, and you'll always know which one you are currently viewing based on which tenant currently has the blue "Selected" tag next to it.

To switch to another tenant, simply click the blue ">" icon in the Open column that matches the row of the tenant you wish to view. In the photo below, you'll see that the button to click for Tenant A is highlighted in red.

After clicking the appropriate button, you will be redirected to the landing page for your chosen tenant's account. You should also see a message in a green box confirming the switch was successful.

Additionally, if you return to the Manage Tenants page, you will see that the blue "Selected" tag has updated to reflect the change that has occurred. That way, you can always double-check which tenant you are currently viewing.

Adding Tenants

While on the Manage Tenants page, click the blue "+ New" button in the upper right part of the page.

You can then enter the name of the new sub-tenant and click the blue Save button.

You'll then be navigated back to the Manage Tenants page. The new sub-tenant will appear on the page along with the rest of your tenants. You will also see a message in a green box letting you know the tenant was created successfully.

Account Users for Tenants

Adding new account users can be done from your account settings under the Account Users section. However, you will need to make sure you have selected the appropriate tenant or sub-tenant beforehand.

For example, if we want to add an account user to Tenant B, first make sure Tenant B is selected on the Manage Tenants page.

Then navigate to the Account Users section in your account settings. Enter the name and email address for the user, and select the appropriate permission level. Then click the blue Invite button.

The Settings page will refresh, and you'll see a message in a green box confirming the user was added successfully.

A note about Administrator Permission Levels: If you make some an Administrator on a sub-tenant, they will only have access to that sub-tenant. The only way to give someone access to all tenants is to make them an Administrator on the primary tenant.

One way to be able to confirm this is by visiting the Account Users section while the primary tenant is selected, you'll see an additional note describing the Administrator Permission Level stating this user "can also switch between tenants".

All other Permission Levels limit users to the single tenant to which they have been invited, even if they have been invited on the primary tenant.

Frequently Asked Questions

How do MDM integrations (eg. Intune, Jamf, Kandji) and SCIM integrations (eg. Entra, Okta, OneLogin) work with multiple tenants?

One instance of each integration can be assigned to each tenant. For example, one Intune instance, Jamf instance, and Kandji tenant can be configured for your primary tenant, while a separate Intune, Jamf, and Kandji instance can be configured for one of your sub-tenants. However, two instances of the same integration (ie. two Intune instances) cannot be configured to the same tenant.

Can SSO integration be enabled for each tenant and sub-tenant?

Unfortunately, this isn't possible. The SSO integration can only be configured for your primary tenant. Account users associated with individual sub-tenants will be required to sign in using their email and password.

How many tenants can I have on a single BlueTally subscription?

If you are subscribed to our Corporate or Enterprise plan, you will have access to a primary tenant and five sub-tenants at no extra cost. You are welcome to add more sub-tenants beyond the initial five for $19/month per additional sub-tenant.

Can I give an account user access to more than one tenant without making them an Administrator on the primary tenant?

Unfortunately, this is not possible. Administrators on the primary tenant are the only ones who can access multiple tenants.

If I'm using the BlueTally REST API on an account with multi-tenancy, is there anything else I need to consider to ensure I use the API correctly?

Yes, you will need to include the Tenant ID in your API calls. You can learn more about how to return and identify Tenant IDs in the appropriate section of the Developer Hub guide for our API.
