How can I edit my Assets in bulk?

Guidance on how to use our Bulk Edit and Batch Update features for Assets

Sometimes you need to make changes across your entire inventory, so editing or updating your Assets one by one would take up far more time than you have. To help save you time, we offer two different tools to allow you to change your Assets en masse: Bulk Edit Assets and Batch Update Assets.

If you plan to make the same changes across multiple Assets (like updating all of your Assets to the same Location, scheduling multiple Assets to all have an Audit on the same date, changing several Assets to the same non-deployed Status, etc), then you'll want to use the Bulk Edit Assets feature. If you need to make different changes for multiple Assets (such as updating the Purchase Cost for several Assets, but each Asset was purchased at a different price), then you'll want to use the Batch Update Assets feature.

Bulk Edit Assets

The Bulk Edit Assets feature can be found in the dropdown menu under Assets in the navigation bar:

You'll then be directed to the Bulk Edit Assets page, where you can select as many of your Assets as you wish to include in this edit using the Select Assets field. When you click on the Select Assets field, your Assets will appear in a drop-down menu.

After selecting which Assets you wish to edit, you can then choose which information needs to be edited. You can make multiple edits at the same time, such as changing the Status, setting a Warranty Expiration Date, adding Notes, and more. Here's a full list of what you can edit on this page:

  • Product

  • Status

  • Supplier

  • Location

  • Department

  • Asset Name

  • Serial Number

  • Warranty Expiration Date

  • End of Life Date

  • Order Number

  • Purchase Date

  • Purchase Cost

  • Currency

  • Any Custom Fields enabled for Assets

  • Notes

  • Image

  • Expected Checkin Date

  • Schedule Audit

Once you have selected all the changes you wish to make, simply click the blue Save button at the bottom of the page to initiate the Bulk Edit.

You will then see a box confirming that you wish to complete the edit. Click "OK" to continue.

Once the edit is complete, another pop-up window will appear to confirm this.

Batch Update Assets

The Batch Update Assets feature can be found in the dropdown menu under Assets in the navigation bar:

You'll then be directed to the Batch Update Assets page, where you can select as many of the fields you wish to update by clicking on the appropriate checkboxes. You can choose to edit any of the fields listed below:

  • Asset Name

  • Asset Serial Number

  • Currency

  • Department Name

  • End of Life Date

  • Location Name

  • Notes

  • Order Number

  • Product Name

  • Purchase Cost

  • Purchase Date

  • Status Label

  • Supplier Name

  • Warranty Expiration Date

  • Checkout to (this will assign your Asset to the Employee or Location you designate)

  • Checkout Date)

  • Expected Checkin Date

  • Checkout Condition

  • Checkout Notes

  • Any Custom Fields enabled for Assets

You will also see some additional instructions on how to make specific changes, such as removing a value or ensuring you check out an Asset correctly.

Whichever fields you select via checkbox will appear as columns next to the Asset ID column. This is where you will enter the information you wish to update. You'll be able to designate which Assets you want to update by entering each device's Asset ID.

Once you have recorded all the updates you need to make, scroll down to the bottom of the page and click the blue Batch Update Assets button found in the lower left-hand corner of the page:

You will then see a box confirming that you wish to complete the edit. Click "OK" to continue.

Once the update is complete, another pop-up window will appear to confirm this.

Undoing your Bulk Edits and Batch Updates

Sometimes, you or another team member might make a mistake in a bulk edit or batch update, causing a lot of confusion and disruption to your inventory management. Thankfully, we have an Asset Changes Rollback option found in your account settings that will allow you to easily undo any bulk edits or batch updates that may contain unintended errors.

While in your account Settings (which can be found in the dropdown menu accessed by clicking the profile icon in the upper right-hand corner of your account), find the Asset Changes Rollback section in the column on the left. You may need to scroll down the page before it appears.

Clicking on this section will automatically navigate you to the Asset Changes Rollback section, where you can see each of the recent bulk edits and batch updates. Simply click on the Rollback button under the Action column on the right to undo the change that was made by mistake.

A confirmation box will appear to ask if you are sure you wish to make these changes. Please note that this cannot be reversed. Click OK to continue undoing the change.

Once the changes have been rolled back, they will appear under the Recently Rolled Back Asset Changes header, confirming the mistake has been officially undone!

Frequently Asked Questions

Why can't I Bulk Edit my Asset IDs?

Each Asset ID has to be a unique value, and the Bulk Edit feature is only capable of changing all selected Assets to the same value. As a result, the Bulk Edit feature cannot be used to update your Asset IDs all at once.
